Client walkthrough
Learn Everra by doing.
Everything below takes under an hour end to end, and each chapter stands alone — open the module beside this guide and follow the numbered steps. No training call needed.
01 — Getting in
Sign in for the first time
- Look for your invitation. Your firm's owner or admin adds your email under Team & permissions. Until you are invited, the sign-in page will not accept your address — that is deliberate.
- Request your code. On the sign-in page choose "Activate account", enter your email, and a one-time verification code arrives by mail. It expires in minutes and works once.
- Set your password and you are in. Add an authenticator app under Two-factor security as soon as convenient — chapter 12 shows how.
Your trial: an approved firm gets 15 days with everything enabled. When the trial ends, the workspace locks until a plan is chosen — your data stays exactly where you left it.
02 — Orientation
Read your dashboard
The dashboard greets you in your own timezone and shows only real numbers from your firm — active matters, upcoming hearings, drafts awaiting review. A new workspace shows honest zeros, not sample data.
- The oval pill under the bar names your workspace and shows Online. When anything saves, a gear spins at its right end — if you ever see Offline, your changes are waiting on your connection.
- The bell collects what needs attention: listed hearings, drafts waiting on review, high-risk matters. Click an alert to jump straight to it.
- Search in the bar filters your matters as you type. ☰ Menu holds every module; + New matter is always one click away.
03 — People
Build your team
- Open ☰ → Team. Enter a colleague's email, pick a role, and invite. They activate exactly as you did in chapter one.
- Roles are least-privilege: partners and lawyers run matters; clerks assist; finance sees billing; viewers can read but never change anything. Admins manage the firm — but cannot touch the owner or make themselves owner.
- See who is on. Owners and admins see a live online marker beside each member.
- Talk in topics. Team chat sits under the member list — pick a topic (or type a new one, e.g. a matter name) and the whole conversation stays with that subject, inside the firm, on the record.
04 — Records
Clients come first
- Open ☰ → Clients & parties and create the client record — name, kind, contacts. Counterparties and witnesses live here too, so conflicts surface before they cost you.
- Everything downstream — matters, documents, invoices — hangs off the client record, which is why the vault in chapter six asks you to pick a client before it opens.
05 — The unit of work
Open a matter
- Click + New matter anywhere. Give it a title, jurisdiction, risk level and lead. It receives a reference and appears on the dashboard immediately.
- Risk drives attention: high-risk matters surface in the bell and in the dashboard count, so nothing quietly ages.
- Every change to a matter is written to the audit trail with who and when — chapter 12.
06 — Documents
The client vault
- Open ☰ → Client vaults (Documents and Evidence lead here too) and select the client.
- Click the file field — your system's file picker opens. PDF, Word (.doc/.docx), PNG and JPEG are accepted. Tag the upload with matter, document type and privilege level, then upload.
- Each file is integrity-hashed (SHA-256) on arrival and stored privately, isolated by firm and client. The hash is your proof the file never changed.
- Sequence the record: reorder documents into the running order you would hand a bench, and save the sequence — reordering is audited.
07 — The calendar that matters
Hearings & deadlines
- Open ☰ → Hearings, pick the matter, add title, court and date-time.
- Upcoming hearings appear on the dashboard automatically; anything listed within a day is flagged, and the bell carries it until it passes.
08 — Accountability
Tasks that get done
- Open ☰ → Tasks. Create the task against a matter, set the owner and the due date.
- A task always has one accountable owner — "the team" never owns anything here, which is precisely why things finish.
09 — Work product
Drafting with a review gate
- Open ☰ → Drafting. Create a draft against a matter — pleading, opinion, submission, order or letter.
- Cite from verified authorities in the law library, paragraph by paragraph. A citation links to its source; nothing is invented.
- Submit for review. A draft cannot be used until a partner approves it — the gate is enforced by the system, not by habit. AI-assisted output always requires professional review before it leaves the building.
10 — Getting paid
Time & billing
- Open ☰ → Time & billing. Record time against matters at your firm's rates, then raise an invoice from the recorded work.
- Invoices carry your numbering and taxes, pass through approval, and deliver to the client securely.
11 — Co-counsel
Working with another firm
- Open ☰ → Client portal → Co-counsel and search the directory for the firm you want to work with.
- Both admins must approve. A collaboration request is sent to the other firm's admin; until they accept, neither side sees anything of the other.
- Once approved, only the named shared matters are visible to the other firm — never your client list, never your other matters. End the collaboration and access ends with it.
12 — Trust
Security you can show a client
- Two-factor: open ☰ → Two-factor security, scan the QR code with any authenticator app, confirm one code, and store the recovery codes somewhere safe. From then on, a password alone is not enough.
- Idle lock: leave the workspace untouched for ten minutes — in chambers, in a corridor — and it signs itself out after a one-minute warning.
- Ethical walls: practice groups scope who sees which matters. Someone outside the wall does not see a locked door — they see nothing at all.
- The audit trail (☰ → Audit & security) records sensitive reads, writes, approvals and permission changes across the firm.
- Languages & themes: the interface speaks 20 languages including Hindi, Tamil, Bengali, Arabic and Urdu, and follows your light or dark preference.
